Teachers
Teachers will need to login through the ‘10wC organisation login’ on the right hand side of the screen using the username and password generated by the facilitator during registration.
Facilitators
Facilitators must ensure that they have been assigned the Facilitator role in the PSC Tracker. School Principals have access to assign staff to various Facilitator roles in the Tracker and may be able to assist. Registration must be started before this function is unlocked.
The Facilitator login is a single sign on (SSO) system, meaning, it is linked to your DoE staff portal. Registered Facilitators must ensure that they are using their own device and selecting the green Facilitator/Principal button on the left hand side on the PSC Tracker homepage.
Please ensure:
- You are using Google Chrome or MS Edge
- You are logging in through the green Facilitator/Principal button
- If prompted, you enter your current DoE portal password and email. Please advise the PSC Team if your email address has changed.
If login issues persist, IT suggest the following fixes.

If the above has not worked, please contact the PSC Team.
1. New facilitators must ensure that they have been set up as a Facilitator in the PSC Tracker. The PSC Tracker (https://www.psctracker.com.au/) is the site all Facilitators, Principals and teachers will use to register their school, submit their students and/or staff, enter results and submit their final awards for certificate printing.
- Changes to PSC Facilitators can be made via the PSC Facilitators - update your details for 2026. or email the PSC team - psc@det.nsw.edu.au.
2. School Principals have access to the PSC Tracker to begin registration. Principals and/or PSC Facilitators can add, remove and assign Facilitators to various Challenge roles. Schools are encouraged to begin discussions about who will be taking on the Facilitator role before the school registers. The Principal can then assign teachers as Facilitators during registration. Alternatively, staff interested in becoming a facilitator may contact the PSC team.
3. Facilitators will login through the green Facilitator/Principal button. The PSC Tracker will log them in automatically as it is a single sign on (SSO) system. If prompted, please ensure only the current DoE portal details are entered. If an email address has recently changed, please contact the PSC team.
4. A registration summary will display on the 'Organisation admin' landing page/tab in the PSC Tracker once the school has been fully registered. This summary is interactive, and allows Facilitators to make edits to their registration by clicking the corresponding 'Edit' buttons.
For more information on the registration process, visit our resources page under the 10-week challenge tab.

PSC Tracker registration
Registration for the PSC's 10-week Challenge program is completed through the PSC Tracker website by the school Principal or PSC Facilitator. Changes to PSC Facilitators can be made via the PSC Facilitators - update your details for 2026. or email the PSC team -psc@det.nsw.edu.au.
For in-depth guidance with the registration process in the PSC Tracker, please refer to the comprehensive PSC Facilitator toolkit Canva presentation .
The PSC Tracker will not accept a CSV file which contains errors. Such errors include: names in upper case, spaces before and/or after names, commas, brackets, student SRN numbers, misspelt column headings and so on. If a file is rejected, amendments to file data will need to be made or a new CSV file will need to be downloaded from ERN. Please see our instructions:
If no errors are detected, the file will upload and a dialogue box will display the total number being entered and allow you to import.
Final student and/or staff registration/participation numbers for the 10wC will be displayed in the 'Organisation admin' landing page after registration has been finalised.
The PSC Tracker will auto-generate a receipt email with basic registration stats upon finalising. These stats include; the school name and address, the current Principal, the '10wC Organisation login' username and password details, the selected PSC Challenge options (staff and/or students), team/s and participant totals including staff and/or Student ambassadors. This will be sent to the PSC Facilitator's email.
Note: The registration summary receipt email is only a snapshot of the school's full registration details. For a more detailed breakdown of the school's PSC registration or to make edits, please login to the PSC Tracker and navigate the 'Organisation admin landing page/tab'.
As a visual cue, a bold 'Congratulations' banner at the top of the 'Organisation admin landing page/tab' will display indicating registration has been completed.
If you would like further confirmation or assistance with registration, please contact the PSC Team.
A CSV file is just an excel document which is downloaded from ERN. Most school administration staff have almost daily experience working in ERN and will be able to assist facilitators in this step.
Please find instructions on Downloading a CSV file from ERN for further assistance.
Facilitator
1. Attain a CSV file from ERN. Admin staff may assist with this step. Instructions on How to Download a CSV File from ERN may be helpful here.
2. Review the CSV file and ensure that it meets the requirements of the Tracker. Instructions for Uploading a CSV File from ERN to the PSC Tracker (PDF 548 KB) may be helpful here.
3. Login to the PSC Tracker.
4. Select ‘Upload Primary Students & Classes by CSV file for the school’ from the list of methods for adding students.
5. Click or drag the CSV file into the grey box. Ensure the file is saved and closed.
6. Select 'Upload'.
Admin staff and teachers
Admin staff and teachers will not be able to upload the file as they do not have administrative access to the Tracker. Admin and teaching staff may wish to send the file through to the facilitator so that they can upload it. If the facilitator is not available, they may wish to contact the PSC office and request their own access to the Tracker. They will then be able to upload the CSV file into the Tracker.
Follow the above instructions.
For more information, please review our 10wC resources and support page.
ERN can sometimes generate unusual spreadsheet data. Please follow the instructions for How to download a CSV file from ERN (PDF 383 KB) and Uploading a CSV File to the PSC Tracker (PDF 548 KB) on our 10wC resources and support page closely.
Both the staff and student CSV file must contain the following 4 column headings:
First name, Last name, Scholastic year, Roll class
Common CSV file errors:
-
Commas, brackets or spaces before, after, or between names, rows, and/or columns
-
Merged data, such as first and last names in a single column
-
Names in upper case
-
Mixed up column order
-
A-Z sorting that mistakenly includes the column headings
-
Presence of student SRN numbers, DOB and gender data
-
Misspelled column headings
-
Students not assigned to a Roll Class
-
Fewer than 2 students in a Roll Class
If the CSV file does not match exactly the sample shown in the instructions in the guide, it will not upload. Sometimes, the right data is present but needs tweaking. In this instance, please feel free to forward the file onto the PSC Team and we will amend and upload. However, if necessary data is missing, a new CSV file needs to be downloaded.
Depending upon a school's Challenge preferences, registration cut-off dates will vary.
The 10-week Challenge (10wC) period commences in Week 1, Term 2 and concludes Week 10, Term 3. The Challenge can be run any time during this time frame.
- Schools wishing to run their 10wC in Term 2, must complete their registration by Monday 30 March 2026 (Week 10) for the PSC team to dispatch materials for the start of Term 2.
- Schools wishing to run their 10wC in Term 3, have until Friday 29 May 2026 (Week 6) to finalise their registration and receive their PSC starter kit before the end of Term 2. Submissions after this date will delay PSC starter kit dispatch until Week 1 Term 3.
- The final cut-off for late registrations is Friday 3 July 2026 (Week 11).
Note: The PSC team will communicate thoroughly with schools, the various important dates as they come up during the year. Such information will be highlighted on the PSC website, PSC Updates and emails.
For confirmation of registration, please contact the PSC Team.
Concluding the 10-week Challenge
If tracking materials such as hard copy or digital logbooks are not used consistently or if weekly data is not be entered by students or teachers consistently in the PSC Tracker e-Wall charts, final award level results will be based on the average of the awards entered, or default to the minimum award level (Bronze).
Remember, the Bronze award is based on 150 minutes of sport and physical activity as recommended in the NSW Department of Education's sport and physical activity policy Schools ensuring this policy is met means a submission of this award for students who did not track consistently is considered valid.
However, if you believe a Bronze award is not an accurate reflection of participation / activity achieved, you may wish to estimate and / or backdate final awards and ultimately override the award levels calculated or defaulted.
Results can be estimated based on how active students were during previous active periods when more structured sporting activities or events occurred. You can even simply ask them what activity they’ve done. Most will have done something during the previous few weeks whether it was a walk outside or playing in the yard. It all counts!
- Submitting final awards for the 10wC guide (PDF 1.00 MB) - see pages 7 - 8.
Changes can be made to an award, student name or opt in/out for printed certificates only whilst the school's status is 'Fully submitted' or '10wC awards partially submitted'. PSC Facilitators can confirm the school's status in the PSC Tracker 'Registration summary'.
- PSC Facilitators can 'Unsubmit' teams on the awards submission page through the 'Registration summary'.
- Classroom teachers can edit results after submission in the e-Wall chart by selecting the 'Unsubmit' button in the top, right.
Note: Once the status changes to 'PSC EOC certificates processed', you will need to contact the PSC team directly to make any amendments as print would have begun and editing will be permanently locked.
Whilst the default award level for K-2 teams is a ‘Gold award’, schools have the option to award their K-2 teams with a ‘Diamond’ award level during final award submission if teachers feel that their team has participated at this level of activity throughout the challenge.
It is important to remember that the 10wC is a participation challenge. The K-2 team award change is consistent with PSC values when it comes to ensuring our youngest participants develop positive attitudes toward sport and physical activity as well as encouraging good sportsmanship, teamwork and, ultimately, a lifelong commitment to being ‘More active, more often’ (MAMO).
No, submission in the PSC Tracker is essential for officially concluding the 10-week Challenge, regardless of a school's desire for printed 10wC certificates or not.
To submit final awards but opt out of printed certificates, ensure the 'I want to receive printed certificates for this team' box is unticked for team/s in the PSC Tracker.
- Submitting final awards for the 10wC guide (PDF 1.00 MB) - see pages 9-10.
Yes. Schools are welcome to print their own 10wC EOC certificates if they wish. Please remember to untick the 'I want to receive printed certificates for this team' box when submitting each team's final awards in the PSC Tracker.
Premier signed blank 10wC EOC certificate templates will become available soon through the PSC Tracker for download and print.
A downloadable PDF version of the certificates is available now on the '10wC resources and support webpage' under the 'Concluding the Challenge' drop down. Note: these versions do not include the Premier's signature for security reasons pertaining to this being a public-facing website.
Step 1: Access the final award submission page

Use this option when students (or staff) receive awards based on their individual achievement. Award levels may vary across the team e.g. K–2 students default to Gold.
-
Ensure the 'Edit individual awards' is selected.
-
Review and edit individual awards if required.
Team award
Use this option when you would like all participants will receive the same team award.
-

-
Edit the team award if required.
Step 3: Submit final awards
For both award types:
-

-
Choose whether you want printed certificates by ticking or unticking 'I want to receive printed certificates for this team'.
-
Select 'Submit team final awards'.
The school award level is based on the combined, overall average of every student and every team.
For example, if several teams received Bronze awards due to a default submission or a genuine, sound result (remembering the Bronze award is based on the 150 mins of sport and PA as set by the Department)this will result in the overall school award level being a Bronze or Silver award, depending on the value of the other awards across other teams.
It is important that all students/staff and teams work together to boost daily physical activity, participate in school initiatives and sport and ensure they consistently track their activity through the logbooks, 10wC activity tracker web app , or school eWall chart etc.
Below is the award level breakdown for students from years K-12.
| Award Level | Daily Activity Time |
|---|---|
| Bronze | 30 minutes per day |
| Silver | 45 minutes per day |
| Gold | 60 minutes per day |
| Diamond | 80 minutes per day |
For more information on award level breakdowns and criteria, see the Submitting final awards for the 10wC guide (PDF 1.00 MB) page 6.
There could be a couple of reasons why this is the case.
1. 10wC EOC certificates were opted OUT during submission.
Opting out requires manual overriding of the default in the PSC Tracker award submission process for every team. It's best to follow up with either the principal or the PSC Facilitator/s to confirm this.
- Note: If it is confirmed that certificates were opted out by mistake or there has been a change of heart, the PSC team can organise either a whole school or selected team print and delivery. Please contact us at psc@det.nsw.edu.au
2. 10wC EOC certificates have been lost in the mail.
If you are certain that printed certificates were opted in for, it is possible that your parcel has been lost or misdelivered. While this is uncommon, parcels can occasionally go missing despite tracking information being emailed to the PSC Facilitator to monitor delivery.
Have the main PSC Facilitator check their emails as they should have received an email from Australia Post advising them that their certificate pack is on its way, along with a tracking number.
If this cannot be found or the tracking shows delivery but it can not be found, please contact the PSC team at psc@det.nsw.edu.au as soon as possible. We will confirm the parcel's status and arrange for replacement certificates to be reprinted if required.
Yes. The PSC team is happy to provide schools with replacement 10wC EOC certificates upon request.
EOC certificate data is taken directly from the PSC Tracker, where student names are entered manually or uploaded via a CSV file from ERN during registration. If it is discovered that a student's name has been entered incorrectly, or another preferred name is desired, it can be amended and a replacement certificate issued and delivered to the school.
Replacement certificates can also be provided if the original certificate has been lost or damaged.
PSC Grant
The PSC Participation Grant is based on the number of students registered in the 10-week Challenge (10wC). The grant can be used to support sport and physical activity programs.
This year there is a PSC Participation Grant cut-off as funding needs to be distributed in the 2024/5 financial year. Schools who complete their PSC registration AFTER Wednesday 13 May 2026 will NOT receive a PSC Participation Grant.
See the Grants and funding webpage for more information.
Schools need to complete their PSC registration by 13 May to receive a PSC Participation Grant.
Schools are not required to formally apply for a PSC participation grant. Prompt completion of the registration process, including the upload/submission of student names into the PSC Tracker, before the advertised cut-off, will guarantee the school receives grant funding.
Facilitators and Principals will receive an email from the PSC team advising that the school's PSC grant money has been processed. The email will detail the breakdown of the funds based on student numbers as well as suggestions for expenditure of the funds and how to view the funds in SAP.
An email from the PSC detailing the school's PSC grant will be sent to the school's email inbox and addressed to the Principal.
The PSC Facilitator and Principal will be able to view the details of the grant money on the PSC Tracker in the 'Organisation Admin landing page/tab' in the 'school funding' section and will include the overall grant total and processing date.
The grant money will be deposited into the school's account as a Budget Adjustment. Admin staff can view the funds in the eFPT Allocation Detail Report in SAP. It will be processed under GL 489010. Please refer to our eFPT Quick Reference Guide (PDF 522KB) for locating and allocating the PSC grant funding.
For more information on the PSC participation grant, please view our Grants and funding webpage.
We recommend that the grant money is spent or committed before the end of the calendar year. It will be up to the Principal how the annual budget is allocated moving forward and this may include the PSC grant money. However, the grant money will not be "taken" from schools if it is not spent by the end of the calendar year.
Also, please bear in mind that participating schools can look forward to another grant the following year.
There is no formal acquittal process for the PSC grant/s and the PSC does not require proof of expenditure. The submission of 10-week Challenge final awards in the PSC Tracker is evidence of genuine engagement in and completion of the challenge.
Schools are encouraged to put the money towards incentives, programs and equipment, to get students and staff more active.
The PSC offers the following suggestions for expenditure:
- the purchase of sports equipment
- attendance at an inclusive school sport event
- staff professional learning in sport and physical activity
- conducting whole school sport and physical activity programs
- subsidising the purchase of machines and equipment for use by students and staff
- hire of personal trainer/instructor to run session/s.
